Administration Manager

DUTIES & RESPONSIBILITIES:

Assist the senior director with implementing compliance procedures such as anti-money laundering and GDPR across global offices.
Respond to internal and external customer problems and inquiries, determine appropriate action, and resolve issues or forward them to the appropriate person for resolution.
Supervise and train Client Experience staff, ensuring that tasks are distributed accordingly and meeting deadlines within the agreed-upon time frame.
Assist clients with client portal navigation.
Direct tax-related questions to appropriate professional staff
Prepare and organize working paper files for tax return preparation
Filing, correspondence, faxing, preparation, and distribution of documents and other materials, and photocopying for professional staff as required
Responsible for the shipments of documents and tax returns electronically & paper
Other duties as assigned/necessary from time to time

EDUCATION & REQUIREMENTS

Bachelor’s degree in business administration, Project Management, or equivalent preferred
4-6 years of experience in customer services in an accounting or professional service Firm preferred
Strong communication, both written and verbal-Fluent in English and German (Level C1 and above).
2-3 years of experience in supervisory/ office management is considered an asset.
Correspondence (written and oral) in German with German Steuerberater (German tax preparers), German-speaking clients, and local authorities and businesses.
Strong organizational skills and ability to prioritize and manage time effectively to meet deadlines in a fast-paced environment
Capacity to work well in a team, contributing to a positive and collaborative environment across multiple jurisdictions
Exceptional customer service with a proactive and client-focused attitude.
Proficient with software applications/programs, i.e., MS Office, Word, PowerPoint, Excel, Outlook, etc.
Familiarity with CCH Axcess would be considered an asset.
Willingness to learn new software packages and systems and stay updated with tools relevant to the role.

WORKING CONDITIONS

Work location: Remotely and in-person, this is a hybrid work arrangement.
